UC Recruit: a UC Working Smarter Initiative

Working Smarter, the UC initiative that envisions ten distinct campuses using one efficient administrative framework, has designated UC Recruit as one of its signature projects. UC Recruit provides for secure online academic hiring that supports the commonality of Academic Personnel business practices across the UC system.

Originally developed at UCI in 2006, Recruit automates and streamlines much of the academic recruiting process.  From job posting, applying, reference gathering, reviewing by the search committee, selecting a hired candidate and, finally, archiving all materials in accordance with University policies and legal considerations, the system also aids campus equal opportunity employment efforts and annual Affirmative Action reporting requirements. At UCI alone, over 33,000 applicants have used Recruit with over 191,000 documents and reference letters uploaded into the system, saving paper and time for increasingly over-assigned staff and faculty committees juggling multiple priorities.

In 2011, UCI’s AP Recruit system (re-branded UC Recruit) was adopted for system-wide deployment at all ten UC campuses, eliminating redundancy and further reducing costs.  Along with its home campus, those that are running UC Recruit include San Diego (2009), Berkeley (2012), Davis (2012), Santa Cruz (2012), and San Francisco (2012). The remaining 4 campuses (Los Angeles, Merced, Riverside, and Santa Barbara) are slated to be in production by the end of Summer 2013.

Recruit Team Earns 2010 Sautter ‘Gold’ Award

The annual Larry L. Sautter Awards for IT innovation were presented at the 2010 University of California Computing Support Conference at UCLA.  Ten UC teams received awards, and among three receiving top honors was the team that developed AP Recruit for multi-campus use.

AP Recruit is a web-based system for managing the recruitment of academic personnel.  Recruit was originally launched at UCI in 2006 after 3 years of development.  (See prior articles).  In October 2009, UC Irvine and UC San Diego jointly launched the AP Recruit web application for use at the San Diego campus.  The collaboration transformed UC Irvine’s campus-tailored AP Recruit system into a multi-campus software service in 6 months. Going forward, other campuses will benefit from the new Recruit enhancements.

The multi-campus AP Recruit product uses current software technologies yielding efficiencies within established business processes in academic personnel recruiting, particularly needed in this era of budgetary challenges.

Teach a Process? Do it with a Screencast

Academic Personnel has a new way of rapidly training staff to use “Recruit,” UCI’s Web-based faculty hiring system. As the cornerstone for their e-learning solution, the Recruit support team, with the help of Camtasia Studio recording software, has produced a number of screencasts.

A screencast is a video that is produced by capturing motion visuals, text, and audio from a computer screen. Learners are instructed to watch the demonstration screencasts and then follow the exercises in an accompanying training workbook that they download from the site. Both the videos and the workbook reside within the Recruit system, and are reachable via the online Help after the user logs in. This self-paced training is a flexible and efficient way to help new users, or even seasoned users who have been away from the system for a while and are looking for a refresher course.

If you want to teach a computer process, consider screencasting. Your learners will be able to play, pause, and rewind whenever the need arises.

Academic Personnel Training

NACS Academic Web Technologies combined forces with Academic Personnel and the Bren School of Information and Computer Sciences, to deliver a series of nine workshops, which concluded recently.

NACS is developing an online tool under the guidance of Academic Personnel to aid in the Senate Faculty search process. Informally referred to as “Recruit,” this tool was originally written for internal use by ICS, and NACS is extending it for use campus-wide.

84 staff attended Recruit training over the past two weeks, representing the School of the Arts, Social Sciences, Social Ecology, the Paul Merage School of Business, Biological Sciences, the Henry Samueli School of Engineering, Humanities, the Bren School, and Physical Sciences. Workshop attendees were personnel managers, department managers, administrative analysts, and admin assistants, all of whom were invited to learn to use Recruit to manage a Senate Faculty search.

Pat Price (Academic Personnel) and Peggy Munhall (ICS Dean’s Office) led the training. NACS staff were on hand to provide additional support.
