Kuali Financial System Debuts

Accounting and Fiscal Services, in partnership with OIT and other units, rolled out the campus’s new Kuali Financial System on July 7, replacing 30-year-old legacy systems.  Modules include Chart of Accounts, General Ledger, Financial Processing, Contracts & Grants Award (post), Purchasing, Accounts Payable, Capital Assets, Travel, and Budget in addition to a new Vendor Onboarding system and Cognos reporting solution.

To log into KFS, first log in to ZotPortal, https://portal.uci.edu/ and select the following tabs:

  • Faculty & Staff
  • KFS

Many resources are available to KFS users including an informative web site, an email newsletter (with archives of previous issues, available to subscribers), and training programs on the UC Learning Center.  Help is available from the KFS help desk (x4-7001, kfs@uci.edu).

  • The Office of Information Technology is in the process of upgrading the 25-year-old campus telephone system. The upgrade will not affect VoIP Cisco telephones. Physical telephones and basic functionality of your telephone will not change.
  • The administrative portal SNAP will be retired at the end of May 2014.   The new ZotPortal system should be used instead.
  • OIT has tentative plans for Exchange users to be transitioned to Microsoft’s cloud service this year.

  • Microsoft is retiring support for Windows XP in April 2014.  After that date, XP systems will be increasingly vulnerable to malware.  Users of XP systems should consult with their local support regarding replacement, upgrade, or strategic management in the absence of security patches.
  • EEE is offering a new workshop, Working Safe and Smart in the Wild Web, in which you’ll learn strategies to protect your information while leveraging the power of the internet.  The workshop will be held at 2pm November 25.  Interested people can register at https://eee.uci.edu/workshop/cf .
  • Sponsored and Group UCInetIDs are now eligible for UCI Google accounts.  Instructions for setting up a UCI Google account can be found on the UCI Google setup page.

  • OIT has a new mobile tool for finding available computers in drop-in labs, “PC Availability”.  This service can be found at http://www.oit.uci.edu/m/labs/
  • The Student Electronic Broadcast System (SEBS), which allows campus authorities to send bulk email to UCI students fitting diverse criteria, has been upgraded to use the Sympa mailing list software. Among the improvements now available are an improved interface to Registrar data (resulting in more accurate lists of students) and a more stable platform from which to send out the SEBS emails to students. More information on SEBS is available at http://www.oit.uci.edu/computing/sebs/
  • Windows XP is nearing end of life (Microsoft support for Windows XP ends on April 8, 2014). Users should plan to upgrade to newer versions of Windows as soon as possible. (Desktop Support clients are being upgraded, or are scheduled for upgrade before this date.)

Kuali Financial System Nears Release

Kuali
UCI’s Kuali Financial System (KFS) team is helping UCI departments prepare for transition to KFS next year.

As noted in an earlier article, the Kuali Financial System (KFS) is new, comprehensive software that integrates UC Irvine’s core financial functions, including general ledger, procurement, budget, disbursing, and travel reimbursement. It will replace UC Irvine’s more than 30-year-old financial system, which is paper-intensive and has become increasingly difficult to support.

In addition to the KFS web site, where the project and its goals are described, OIT has created a Wiki which includes resources to help departments plan for the transition, links to training, and other key information.
