UC Recruit: a UC Working Smarter Initiative

October 4, 2012 by Shohreh Bozorgmehri

Data Center

Working Smarter, the UC initiative that envisions ten distinct campuses using one efficient administrative framework, has designated UC Recruit as one of its signature projects. UC Recruit provides for secure online academic hiring that supports the commonality of Academic Personnel business practices across the UC system.

Originally developed at UCI in 2006, Recruit automates and streamlines much of the academic recruiting process.  From job posting, applying, reference gathering, reviewing by the search committee, selecting a hired candidate and, finally, archiving all materials in accordance with University policies and legal considerations, the system also aids campus equal opportunity employment efforts and annual Affirmative Action reporting requirements. At UCI alone, over 33,000 applicants have used Recruit with over 191,000 documents and reference letters uploaded into the system, saving paper and time for increasingly over-assigned staff and faculty committees juggling multiple priorities.

In 2011, UCI’s AP Recruit system (re-branded UC Recruit) was adopted for system-wide deployment at all ten UC campuses, eliminating redundancy and further reducing costs.  Along with its home campus, those that are running UC Recruit include San Diego (2009), Berkeley (2012), Davis (2012), Santa Cruz (2012), and San Francisco (2012). The remaining 4 campuses (Los Angeles, Merced, Riverside, and Santa Barbara) are slated to be in production by the end of Summer 2013.

Recruit Team Earns 2010 Sautter ‘Gold’ Award

January 5, 2011 by Max Garrick

Sautter Award

Sautter Award

The annual Larry L. Sautter Awards for IT innovation were presented at the 2010 University of California Computing Support Conference at UCLA.  Ten UC teams received awards, and among three receiving top honors was the team that developed AP Recruit for multi-campus use.

AP Recruit is a web-based system for managing the recruitment of academic personnel.  Recruit was originally launched at UCI in 2006 after 3 years of development.  (See prior articles).  In October 2009, UC Irvine and UC San Diego jointly launched the AP Recruit web application for use at the San Diego campus.  The collaboration transformed UC Irvine’s campus-tailored AP Recruit system into a multi-campus software service in 6 months. Going forward, other campuses will benefit from the new Recruit enhancements.

The multi-campus AP Recruit product uses current software technologies yielding efficiencies within established business processes in academic personnel recruiting, particularly needed in this era of budgetary challenges.

More details on the collaboration can be found in the Sautter Award application.  More information on Recruit can be found at the Recruit web site.

Recruit Updated

Recruit Web Site

Recruit Web Site

The faculty recruitment process at UCI is managed by the web application “Recruit.” NACS has improved Recruit’s applicant interface based on feedback from applicants as well as the academic personnel analysts who manage faculty recruitment.

Since its launch just over three years ago, more than 15,000 applicants have used the Recruit system.  The system allows applicants to apply electronically and enables the search committee to see applicant files online. Recruit is part of Academic Personnel Systems, built as a partnership between the Office of Academic Personnel and NACS, and based on an earlier version from ICS.

Extensive help is now available on-line for all Recruit users — not only for the applicants, but also for their references, academic personnel analysts and for search committee members who may be unfamiliar with the system’s interface. The on-line help is organized by job or task. For example, a member of a search committee will easily find help on how to review documents or filter the view of a large applicant pool. Compared to printed materials, on-line documentation has become increasingly prevalent because of the advantage in updating the content as well as instant accessibility.

Faculty Recruitment Tool Update

November 10, 2008 by Gerrard

Recruit Web Site

Recruit Web Site

Recruit is a campus-wide, Web-based program for managing the faculty recruitment process. Recruit is part of Academic Personnel Systems, built as a partnership between the Office of Academic Personnel and NACS.

Recently, an important demographic data-gathering component was integrated into the system. This data was previously collected and managed through the Office of Equal Opportunity and Diversity’s Faculty Applicant Survey Tracking system or “Fast”.

Recruit adapted the capabilities of the Fast system and now collects and stores anonymous applicant demographic data for all academic recruitments. Once an applicant fulfills the application requirements for a faculty position, Recruit links them to the survey. There they are asked to report sex and ethnicity anonymously on a one-page questionnaire.

Recruit administrators produce aggregate reports, enabling search committees and equity advisors to ensure the applicant pool represents multicultural and otherwise diverse populations, in compliance with federal regulations regarding equal opportunity and affirmative action in employment.

Since its launch just over two years ago, Recruit has been used by more than 11,000 men and women seeking a faculty post. In addition, Recruit’s data bank currently houses 50,989 applicant files and maintains 18,523 records for references.
